We answer enquiries in English every day, and I will tell you something most factories will not: the orders that go wrong are almost never sabotaged by bad English. They are sabotaged by good English that can be read two ways. The buyer writes "matte grey, comfortable pad, sturdy ring," everyone nods, and three readings of those six words later a container lands wrong. The fix is not better translation — it is writing the brief so there is nothing to translate.
Numbers travel; adjectives do not
Every subjective word in a spec is a coin flip. "Matte" spans three gloss levels; "grey" spans forty RAL codes; "comfortable" is not a property of foam. The discipline is mechanical: replace each adjective with a number and a unit. Not "matte grey" but a RAL code with a gloss level; not "comfortable pad" but a foam density and a thickness in millimetres; not "sturdy footrest" but a tube diameter and a wall thickness. A number is the same in both languages — that is the whole trick. Where a number genuinely cannot capture it (a fabric hand, an exact black), the spec line should say "per approved physical sample," because a swatch in two filing cabinets settles what a sentence never will — the same reason we confirm colour on a physical sample before any custom run.
One drawing beats forty sentences
A dimensioned drawing — even a clean phone photo of a hand sketch with measurements on arrows — is the most translation-proof document there is. The same goes for assembly callouts: number every part on an exploded view and then refer to parts only by number, on both sides, forever. "Part 4, M8 bolt, 35 mm" cannot be misread; "the bracket that holds the ring" can. For anything visual, annotate photos: an arrow on the stitch line you mean is worth a paragraph about it. We would rather receive an ugly, fully dimensioned sketch than an elegant prose brief, every single time.

The traps that bite even careful buyers
Units first: a US brief that mixes inches and centimetres in one document will eventually get one line converted wrong, so pick one system and state it in the header — or give both, with one marked as governing. Dates: write 5 June 2026, never 05/06, which is two different days on two sides of an ocean. Quantities: "a container" is not a number; carton counts are. And idioms simply do not survive the trip — "make it pop," "beef it up," "keep it clean" arrive as static. The brief that lands is short, declarative sentences with one fact per sentence, which feels blunt to write and reads perfectly at the other end.
Close the loop: the confirm-back
The single highest-value habit costs ten minutes: ask the factory to restate the spec in their own words before anything is built. Not "do you understand?" — every factory on earth answers yes — but "send back your version of the spec sheet." The misreads surface immediately, while they are free to fix. We do this from our side as standard: our order confirmation re-lists every line with numbers, and we ask the buyer to sign that document, not their original email. From then on there is one spec of record, with a version number and a date, and a rule both sides keep: changes only by revising the sheet, never by a comment in a chat thread. Three messaging apps and an email chain is how two versions of the truth get built simultaneously.
The physical anchor on top of the paper one is the approved sample. Paper plus sample together close the loop completely: the sheet holds the numbers, the sample holds everything numbers cannot — and at inspection time, your QC checks against both rather than against memory. It is the same logic whether the order is bar stools, office chairs or soft seating: the products differ, the briefing discipline does not.
Video calls: useful, but write down what was agreed
A quick video call resolves ambiguity faster than a week of email — hold the part up to the camera, point at the stitch line, done. The trap is treating the call itself as the agreement. Spoken English across accents is the least reliable channel of all, and three weeks later nobody's memory of the call matches anybody else's. The rule we keep: every call ends with one side sending a written summary of what changed, in numbered points, and the other side replying "confirmed" to that message. The call finds the answer; the written line makes it real. Ten extra minutes, and the most common category of dispute — "but we discussed this" — simply never opens.
The honest trade-off
This discipline costs the buyer half a day on the first order — building the sheet, numbering the parts, reading the confirm-back. Buyers under launch pressure skip it, and we understand why; we also see where those orders end up. The half-day is the cheapest insurance in the programme, and it compounds: the second order reuses the sheet, the third one takes minutes. The buyers we work with longest are not the best English speakers — they are the clearest writers, and after the first order the language gap effectively stops existing.
